HOSTEL ROOM RESERVATION NOTICE
FIRST SEMESTER OF THE 2025/2026 ACADEMIC YEAR FOR CONTINUING STUDENTS (LEVEL 200- 400 STUDENTS)
Notice is hereby given that all continuing students (levels 200 – 400) interested in residing at the University’s Hostels for the 1st semester of the 2025/2026 academic are to take note of the following:
1. A new application system will be used for the booking hence kindly read the Application process below thoroughly.
2. Booking and payment for the Hostels are for a Semester Stay.
3. A refundable amount against damages of ₵200.00 has been added to the Hostel fees. This amount might be refunded depending on damages incurred. If the cost of damages exceeds the amount paid, the student(s) will be billed with the difference.
4. The HMS will be opened for booking application from Wednesday, 20th August, 2025 at 10am.
5. Payment deadline for all students is Wednesday 3rd September, 2025.
6. Check-in details for incoming level 300 and 400 students:
• Registration at the Hostels will commence on Saturday, 5th September, 2025 from 10am.
• Deadline for registration at the Hostels is Sunday, 13th September, 2025 after which all beds not registered for will be allocated to other students in need of accommodation.
7. Check-in details for incoming level 200 students:
• Registration at the Hostels will commence on Saturday, 27th September, 2025 from 10am.
• Deadline for registration at the Hostels is Sunday, 5th October, 2025 after which all beds not registered for will be allocated to other students in need of accommodation.
N/B: PLEASE DO NOT APPLY FOR HOSTEL ACCOMMODATION IF YOU ARE NOT INTERESTED IN RESIDING AT THE HOSTELS. You will be billed automatically when you apply and you will be required to pay the amount.
1. HOSTEL APPLICATION PROCESS
1.1 APPLICATION PROCESS
a. Log onto the Hostel Management System (HMS) via www.upsahostels.com
b. On the Homepage, there will be 3 tabs.
• First is “Current Booking Session”, second is “Apply for Reservation” and third is “Log In”.
• On the second tab which is “Apply for Reservation”, Click on “Apply now” button.
c. An application form will appear which has to be filled with the following information:
• Your Student ID
• Preferred Hostel
• Optional Hostel if preferred hostel is not available
• Preferred room category whether 4 bedroom or 2 bedroom.
• Read and agree to the Hostels’ Terms and Conditions
d. Click on “Submit Form” button below the form.
N/B: An application for hostel does not mean an automatic bed allocation.
1.2 APPLICATION CONFIRMATION
a. A green notification will appear on the form to prove that your application has been successfully submitted.
b. An email and SMS containing the application status will be sent to the phone number and email address on your student records as we have on the UPSA Student Information System (USIS).
c. If the phone number or email used are not yours, kindly update your details at Academic Affairs, Room 7.
1.3 ALLOCATION CONFIRMATION
a. If a bed is allocated to you, you will receive an email and SMS with a hostel billing.
b. You will also be billed on your UFIS portal.
c. Any student who does not pay the required hostel fees before the deadline will forfeit his /her allocated bed.
1.4 RESERVATION CONFIRMATION
a. Once payment is made and disbursed in the UFIS, an email and SMS will be sent confirming reservation.

3. ADDITIONAL INFORMATION
1. PLEASE DO NOT APPLY IF YOU KNOW YOU ARE NOT INTERESTED IN RESIDING AT THE HOSTELS. You will be billed automatically when you book and you will be required to pay the amount.
2. Read the Rules and Regulations governing the Hostels on the University’s website (www.upsa.edu.gh) before applying.
3. Secure a bed (successfully book) before making any Hostel fee payment.
4. Hostel fee payment procedure is the same as academic facility user fee payment (you pay into the University Access Bank account, the money will be transferred into your wallet, then you disburse according to other Hostel fee items on the portal).
5. No student should pay the hostel fees to any staff or student of the University, irrespective of rank or position. All payments should be into the University’s account at the bank.
6. Monies paid (disbursed) are not refundable.
7. Your secured bed will be taken from you if you fail to pay the Hostel fee by the payment deadline for each level.
8. Impersonation will attract severe punishment.
9. Hostel Management reserves the right to re-assign a student to a different room when the need arises.
10. Resident students pay for their own electricity usage in their rooms.
11. A refundable amount against damages of ₵200.00 has been added to the Hostel fees. This amount might be refunded depending on damages incurred. If the cost of damages exceeds the amount paid, the student(s) will be billed with the difference.
